QR code seating chart

A QR seating chart your guests can use, with a printed backup

At a wedding or any seated party, a QR seating sign lets guests scan, type their name and walk to their table, instead of crowding around one poster. Here's how ours works, what's private, and why we still include a printed chart.

What guests see

  1. They scan the QR sign at the entrance with their phone camera. No app is needed.
  2. A simple page opens with your names and "Find your seat".
  3. They type their full name. Capitals, accents, punctuation and a title like "Dr." don't matter: "mateo nunez" finds Mateo Núñez.
  4. They see their table. If two guests share a name, both are shown.

The sample pages use fictional guests and suggest names to try.

What's private, and what isn't

Be clear about this before you print the sign:

  • Anyone with the link can look up a guest if they type that guest's full name. That includes anyone who photographs the sign.
  • Nobody can browse the list. The page never shows all guests, or anyone whose full name you didn't type. Repeated searches from the same connection are rate-limited.
  • It's hidden from search engines and uses a long random address that isn't linked from anywhere on this site.
  • It's read-only. Changes happen only in your private dashboard, which needs your separate management link.
  • It's temporary. The page stays online until 30 days after your event date, then it and your list are deleted.

Only names and tables are stored: no emails, phone numbers, meals or addresses.

Why you still want a printed chart

Wedding venues are often in places with weak phone signal: old buildings, basements, vineyards, the countryside. Some guests won't have a phone handy or won't want to use it. So the QR page shouldn't be the only way to find a seat. Every package includes:

  • the printed seating chart, in your choice of layout and size;
  • a backup guest list, a plain alphabetical list on Letter or A4 for the welcome table or your coordinator;
  • place cards showing each guest's table.

Tips for the sign

  • Put the QR sign beside the printed chart, at chest height, where people pause as they arrive.
  • Print it at 100% scale on matte paper or card; glossy paper can reflect light and make scanning harder.
  • Scan it yourself after printing, and again at the venue if you can.
  • If you move guests after printing, the QR page updates immediately. Only the paper items need reprinting.

Our QR page compared with other options

Standalone seat-finder apps and QR sign templates exist, some free. A QR sign template alone has no lookup behind it: it only points to a link you supply. A standalone finder alone doesn't give you a printed chart or place cards. Ours is part of a package made from one list. The chart, place cards, backup list and guest page always agree, and a correction updates all of them.

If all you need is a lookup page, a free tool may be enough. If you want everything to match and be ready to print, that's what the package is for.
